Start Here! – Steps to Organizing a Race
Here are the basic steps for sanctioning and organizing your race:1. Read the FAQ (see part 2, below).
2. Download and use the appropriate sanction checklist for the level of the race that you’re organizing. Follow it.
3. Read the insurance certificate section (follow the link below) to answer your questions about insurance
4. Always stay up to date on the information in the “Important Notices” section below

If after reading the FAQ you still don’t understand something, or if the question you want answered is not in the FAQ, please contact the Cycling BC office.

Note: Insurance certificates for race events or series will not be issued until the sanction form and calendar fee have been received by the Cycling BC office. Please complete the sanction process for your event first.

Please take note of the following. Notices are posted in order from newest to oldest.

Notice: New Procedure for Race Media Releases – Posted April 21, 2011

Effective immediately, any promotional information or media releases concerning events sanctioned by Cycling BC should be sent to Colin Campbell, via e-mail (only). colin@cyclingbc.net

All such releases must be kept to 500 words or less (make sure the text has been finalized and edited), and must include any relevant image files that you want to accompany the release. Releases will be published using what you send us… so make sure you’re happy with it before sending it in.

Releases may be rejected if we believe that the content is inappropriate. By default, releases will be placed on the web site and in an e-mail newsletter unless you specify otherwise.

Notice: Change to Cycling BC Staff Responsibilities re: Race Organizers. New Director of Race Services – Posted April 21, 2011
Colin Campbell is Cycling BC’s new director of business development and race services. Colin can be reached via e-mail (colin@cyclingbc.net) or telephone (604-889-9889).Effective immediately, Colin is responsible for providing the following services to race organizers:1. Arranging the pickup / return of Cycling BC equipment. For example:

- Race numbers
- Lap board / bell
- Photofinish equipment
- Timing equipment
- Various “race in progress” signs
- Forms such as single event license forms

2. Media releases for events. If you would like information concerning your race to appear on our web site, or in our e-mail newsletters, please forward your submissions directly to Colin.

Note: Please keep submissions to 500 words or less (make sure the text has been finalized and edited), and include any relevant image files. Releases will be published in using what you send us… so make sure you’re happy with it before sending it in.

3. Coordination of the 2011-2012 Cyclo-cross calendar.

From this point on, please forward all enquiries concerning these matters directly to Colin.

Notice: Downhill Learn To Race Clinics – Posted April 11, 2011
Cycling BC has decided that instead of endorsing a single provider of DH Learn To Race Clinics held together with DH races that we sanction, it is better to recognize clinic providers who meet a minimum set of standards and allow race organizers to choose a clinic provider from the list of recognized providers.
Clinic providers must submit an application file to Cycling BC demonstrating that they meet the standards. Click here for a list of the standards and the procedure to apply for recognition.

Notice: Sanction Checklists and Technical Guide Forms – Posted February 11, 2011
A few new forms have been added below. They are:- Sanction requirement checklists for Grassroots, Regional, and Provincial Races. Use these to make sure you get everything done.
- Technical Guide form for provincial, BC Cup, and BC Championship races. This is the minimum information needed in your technical guide.

Note: Technical guides should be created for regional and grassroots events as well, but they don’t need to be sent to Cycling BC for approval. Just make sure that all of the information is available on your event web site for riders to see.

Notice: Race Timing Technicians needed – Posted January 28, 2011

Cycling BC is recruiting people interested in becoming race timing technicians to help with MTB race timing this year. Many hands make light work; and best of all, if you the timing expertise within your club or organization to run the timing system, then you don’t need to pay someone else to do it, so it will save money. Notice: Bid deadline for 2012 Canada Cup and other International MTB Events – Posted January 28, 2011

Those interested in applying for a Canada Cup or other International level MTB event need to have their bids in to the CCA office by March 15, 2011. If you’re interested in hosting such an event, please first contact Kevin at Cycling BC in order to discuss the event requirements. Before CCA will accept any such bids, they must first receive Cycling BC’s endorsement.

Notice: Number Plate and Equipment Reservations – Posted January 28, 2011

Organizers are reminded of that if they wish to use number plates supplied by Cycling BC in 2011, they must complete and return the number plate order form found below to they Cycling BC office by March 15.

Also, organizers wishing to rent or borrow Cycling BC race equipment such as timing equipment must complete and send in the equipment reservation form found below. There is no deadline, but please be aware that all equipment is available only on a first-come first-served basis.

Notice: Important Dates for Race Organizers – Posted January 25, 2011

Organizers are reminded of the following important dates:

  • BC Cup Series Application Deadline: January 31, 2011 at 4pm PST
  • BC Championship Proposal Deadline: February 28, 2011 at 4pm PST
  • Date that Calendar Fees for 2011 Races Double: March 1, 2011
  • Expiry Date for Tentatively Scheduled Races that haven’t completed the Calendar Registration Process: March 31, 2011
